Kochi Prefectural Public University Corporation Kochi University of Technology (hereinafter referred to as "the University") shall handle personal information appropriately, in accordance with the Kochi Prefecture Personal Information Protection Ordinance (hereinafter referred to as "the Ordinance"). Our policy regarding the personal information of all those who use the University's official website (i.e. all pages whose URLs begin with https://www.kochi-tech.ac.jp/ -- hereinafter referred to as "the Website"), based on the Ordinance, is defined as follows.
1 Acquisition of personal information
The University may obtain personally identifiable information (e.g. individual name, address, telephone number and date of birth) from users in order to provide a variety of services including response to inquiries and document requests; and submission of various application via this Website. When obtaining personal information, the University shall do so by legal and fair means, within the scope necessary to achieve the objectives of use of personal information.
2 Purpose of use of personal information
Personal information obtained by the University shall be used to respond to inquiries; send requested materials; perform work related to the submission of various applications; provide information about the University; conduct statistical aggregation; and provide other services via the Website, within the scope necessary to achieve the objectives of such service. Personal information shall not be used for purposes other than those for which it was collected, except as stipulated in the Ordinance (e.g. use with the consent of the person).
3 Provision and disclosure of personal information
The University shall not provide or disclose any acquired personal information to third parties for purposes other than the purposes for which it was collected, except as stipulated in the Ordinance (e.g. provision or disclosure with the consent of the person). In the case of entrusting to a third party who performs a service involving the handling of personal information, the University shall conclude the necessary contract with an appropriate contractor so as to prevent: third party misuse of personal information, e.g. usage beyond the scope of the commissioned service; and leakage or reuse by the third party.
4 Proper management of personal information
To ensure the accuracy and safety of acquired personal information, the University shall take safety measures, including information security measures: to prevent misconduct such as unauthorized access to personal information; and to prevent the loss, destruction, falsification or leakage of personal information.
5 Respect of data subject rights
The University shall respect the rights of the subject of acquired data, as concerns personal information. When a data subject requests disclosure, correction, deletion or refusal to allow use of that data, or refuses to provide personal information, the University shall confirm that the person is in fact the subject of such personal information and shall respond to such request to a reasonable extent in light of: the laws and regulations; social conventions; and practices related to the protection of personal information.
