Handling of Personal Information at Kochi Univesity of Technology

In order to fulfill its social responsibility as an institution that engages in education and research, Kochi Prefectural Public University Corporation, Kochi University of Technology (hereinafter "the University") shall handle personal information appropriately, according to the Act on the Protection of Personal Information and other related laws, as well as the Regulations on the Protection of Personal Information at Kochi Prefectural Public University Corporation (hereinafter "Laws, Etc.").

1. Acquisition of personal information

The University may obtain personal information in instances that have been deemed necessary for education, research, student services, philanthropy, and other university operations. Excluding instances that have been established in Laws, Etc., when obtaining personal information, this University shall make the purposes of use clear and obtain the information in a legal and appropriate manner to the extent necessary to achieve these objectives.

2. Purposes of Using Personal Information

The personal information that is obtained by the University shall be used for the following purposes. Excluding instances that have been established in Laws, Etc., such as when the individual has provided consent, personal information shall not be used for other purposes.

Support for the student's education and life; notices about grades, etc.; administrative tasks for scholarships and insurance; emergency contacts and safety confirmation; managing and receiving credits; announcements, guidance, and various requests from the university

3. Provision and disclosure of personal information

The University shall not provide or disclose any acquired personal information to third parties for purposes other than the purposes for which it was collected, except as stipulated in the Laws, Etc. (e.g. provision or disclosure with the consent of the person). In the case of entrusting to a third party who performs a service involving the handling of personal information, the University shall conclude the necessary contract with an appropriate contractor so as to prevent: third party misuse of personal information, e.g. usage beyond the scope of the commissioned service; and leakage or reuse by the third party.

4. Proper management of personal information

To ensure the accuracy and safety of acquired personal information, the University shall take safety measures, including information security measures: to prevent misconduct such as unauthorized access to personal information; and to prevent the loss, destruction, falsification or leakage of personal information.

5. Respect of data subject rights

The University shall respect the rights of the subject of acquired data, as concerns personal information. When a data subject requests disclosure, correction, deletion or use of that data, or refuses to provide personal information, the University shall confirm that the person is in fact the subject of such personal information and shall respond to such request to a reasonable extent in light of: the laws and regulations; social conventions; and practices related to the protection of personal information.

6. Handling of Personal Information for Purposes of Academic Research

Even in instances in which personal information is handled for purposes of academic research, personal information shall be handled appropriately with utmost care.

7. Joint Use of Personal Information

The University shall jointly use the personal information of current students and alumni with the University's alumni association as described below.

(1) Managing the school register; class operations; registration, guidance, and management of courses; evaluation and management of grades; accreditation of credits; determination of advancement, graduation, and degree completion; diploma conferment; guidance on education and research; obtaining licenses and certifications; taking external tests; issuing certificates; other matters related to educational affairs

(2) Operating and managing student dorms; health management; infection control measures; administrative tasks for student insurance; administrative tasks for tuition exemption and scholarships; awards and punishment; support for extracurricular activities; life guidance; student advising; other matters related to student services

(3) Employment support; career education; career counseling; internships; other matters related to the employment and career development of students

(4) Studying abroad; overseas training; cultural exchange; other matters related to international exchange and overseas placement

(5) Matters related to the use and management of the library, athletic facilities, research equipment, information networks, information systems, and other facilities, equipment, or services

(6) Matters related to education on research ethics and support for research activities

(7) Matters related to the receipt of tuition fees, etc. and requests for cooperation through donations, etc.

(8) Matters related to wellness checks and contacts during disasters, etc.

(9) Matters related to managing the part-time employment of students, etc. and payment, etc. of wages, etc.

To add, guarantors and tuition contributors may be contacted as needed based on personal information obtained. As a general rule, the student's grades, etc. are notified to the guarantor.
