List of Required Application Documents for CSC-KUT Full-time PhD Student

NOTE

-Only applicants who have obtained the permission of their preferred supervisor are eligible to submit the formal application documents.

-We do NOT accept any formal application documents by e-mail.
-ALL required documents (formal application) listed below must arrive at the International Relations Section by the deadline. The documents submitted will not be returned.
-Applicants must meet the entry criteria set by the Chinese Scholarship Council (CSC).

Online Pre-Application Request

Prospective students must submit an Online Pre-application Request form via KUT Online Pre-Application Form for CSC-KUT Scholarship Program (Full-time PhD Student). The request will be sent to the applicant's preferred supervisor for consideration. This process is for determining (prior to the submission of a formal application) whether the intending applicant meets the supervisor's requirements. Please choose one project from the CSC-KUT project list and submit a completed online pre-application request via Online Pre-application Form. After the supervisor has reviewed your pre-application request, she/he will contact you for an interview and may request application documents for reference. We strongly recommend that you prepare all documents before you submit your Online Pre-Application Request. Only one Online Pre-application Request may be sent during a given application period.

* Interviews will be conducted via video conferencing software such as Webex and Zoom.
* When you obtain the permission of your preferred supervisor, submit the all required documents to KUT via post. We do NOT accept any documents which do not meet our requirements or documents which do not arrive by the deadline.
* Please note that your preferred supervisor may not contact you in the case where your pre-application request is rejected.

Required documents (Formal application)

1. A copy of an email or other communication which clearly shows that the leader of the intending applicant's preferred project has given the permission to apply for that CSC-KUT project

Signed Pre-application Request --- After you submit your Online Pre-application request form, you will receive an automated email with a PDF file of your Pre-Application request attached. Print the PDF of the Pre-Application Request and sign the last page.

Bachelor's degree academic transcript (original) in English or Japanese (must include date of issue)
Photocopies and English translations should be verified by the university from which you received your bachelor's degree or a notary public, and bear an actual stamp (not a copy of a stamp) of the university or a notary public. The academic transcript should list all the courses you studied in each year, the marks or grades you achieved for each course and the grading system of your university.

*Electronically authenticated academic transcript and its English or Japanese translation may be acceptable only if the conditions are met.

Master's degree academic transcript (original) in English or Japanese (must include date of issue)
Photocopies and English translations should be verified by the university from which you received (or will receive) your master's degree or a notary public, and bear an actual stamp (not a copy of a stamp) of the university or a notary public.

*Electronically authenticated academic transcript and its English or Japanese translation may be acceptable only if the conditions are met.

*If you are still working towards your master's degree, submit a provisional academic transcript.
*In the case where an academic transcript is not available because the degree program is purely research-based and does not offer course work, please submit a certificate (e.g. current enrollment certificate) issued by the university which states that the program is research-based. Please contact us if you cannot obtain such a certificate.
*If you have acquired or will have acquired two master's degrees or other higher degree, please submit academic transcripts for all the degrees you have acquired or will acquire.

Master's degree certificate (original) in English or Japanese
Photocopies and English translations should be verified by the university from which you received your master's degree or a notary public, and bear an actual stamp (not a copy of a stamp) of the university or a notary public.

*If you are still working towards your master's degree, submit a certificate issued by the university which states the expected date of conferral of your master's degree. Use KUT official CSC-KUT Scholarship form No.1.
*If you have already received your degree,
a) The certificate should clearly state that you have received your master's degree. Completion of a master's program is not sufficient.
b) Submit your OFFICIAL degree certificate. A provisional certificate is not acceptable.
*The certificate should be for a degree which you received after 18 or more years of education, and is comparable to or of higher standard than the master's program offered at KUT. (If you proceeded to a M. Phil program after completing a master's program, you should also submit your M.Phil certificate.)

*Electronically authenticated degree certificate and its English or Japanese translation may be acceptable only if the conditions are met.

6. A copy of the intending applicant's master's thesis in English
If the master's thesis is written in a language other than English, it is necessary to submit an English translation of the abstract of the thesis. Those who are still working towards their master's degree should provide a written description of the content of their master's thesis and of the progress of the research at the time of submission.

Research Outline --- A detailed plan of the research that will be undertaken to achieve the projected research results of the proposed research project in English and approximately one page in length.
In the research outline, please explain, in line with the objective(s) and the phases of the project, what you will do in each of the three years of your research. For example, please include a description of: the materials and equipment that will be necessary; the procedures you expect to perform; and the short term goals you will set for each step of the overall process, in order to achieve your projected research results and to write with the appropriate timing the papers reporting your results.

*Note carefully: You must have published two or more papers reporting your research results in high-level peer-reviewed journals at least two months before completion of the program.

8.

Two signed recommendation letters in English or Japanese
Use KUT official CSC-KUT Scholarship form No.2
*Each recommendation letter must be an original, with an original hand-written signature by your referee on the last page of the form. Copies of signed letters are not accepted.
*One recommendation letter must be from your master's program supervisor.

9. Certificate of health (original) in English or Japanese issued within the past 6 months

Certificate of English ability
Submit the certificate of test results for one of the following: TOEFL iBT, *TOEFL iBT, IELTS, WSK or CET

Applicants must have one of the following score to apply: TOEFL iBT or *TOEFL iBT 72, IELTS5.5, WSK(PETS-5) or CET-6, at least.
*The TOEFL iBT test can be taken in three approved ways officially: test at a test center, test on paper or test at home. KUT accepts all three options.

Other documents: (If you have any of the following documents, please submit them )

1. Rank certificate (in English or Japanese) for bachelor's and master's programs issued by the university, stating your rank in the class (e.g. second out of 25 students )
2. Copies of your past publications
3. Certificate of Japanese ability
4. Copy of your passport ID pages
